An OCR archive server: missing pages and the review queue
A large folder of scans has become a searchable PDF, but that does not mean every page has been recognized. A usable archive needs a report for every source page and a clear exceptions queue. Check this workflow before ordering a server and a batch-processing application.

Acceptance starts with the source inventory
Save an inventory of documents and pages before processing each batch. Every page needs a source file, page number, status and link to the result. The statuses “text already present”, “OCR completed”, “skipped”, “error” and “review required” must not be combined into a single “complete” status.
A page with existing text may need review just as a scan does: for example, an old text layer may contain incorrect part numbers. Define in advance which documents the application may reprocess and how it will retain the previously accepted version. Keep batch source files separate from derived results.
A text sidecar does not replace a page log
OCRmyPDF can create a separate file of recognized text. Its official instructions explain that the sidecar does not include text already present in the document, or pages on which OCR was not performed or was skipped because of the settings. The existence of this file therefore does not establish that the entire source batch was processed.
For acceptance, compare the job log with the source inventory. Missing text can indicate a blank page, existing text, a skipped page or a failure; record the reason explicitly. A model may help sort exceptions, but it must not invent missing document lines to make the report appear complete.
Keep reprocessing limited to the affected pages
An error on one page should not require acceptance of the entire archive again. Record the reason for correction, selected settings, processing version and link to the previous result. After rerunning the job, the employee approves the changed pages and can see which exceptions remain open.
Include a blank page, a document with an existing text layer, a rotated page, an illegible copy and a job deliberately limited to selected pages in the trial batch. Check that the summary does not report skipped pages as successfully recognized and that search results lead to the correct source.
What determines the scope of supply
The quotation depends on the number of pages per batch, resolution, languages, proportion of difficult copies, processing window and storage requirements. Agree separately on the OCR engine, import process, log, exception reruns and acceptance interface. Determine the hardware configuration using a representative batch, rather than a number in the project name.
Before updating the engine or model, process the saved reference batch again and compare statuses, numbers and source availability. Use the same acceptance criteria for the old and new versions. This reveals lost pages separately from improvements in text quality.
Questions before ordering
Does a text sidecar mean that every page was recognized?
No. It contains OCR text from the pages actually processed. Check batch completeness against the source inventory and status log.
Must the whole archive be rerun because of one poor-quality page?
The application can be designed with an exceptions queue and reprocessing of selected pages. Include this workflow and retention of previous versions in the agreed scope of work.
